Adding a New Campaign to Great AEP Scheduler

The Great AEP Scheduler lets you set up campaigns to automate meeting bookings, invitations, and reminders for your contacts. This article walks you through creating a new campaign using a template.

Accessing Scheduler and Starting a Campaign

Start by logging into your dashboard. In the left-hand menu, click Scheduler. From there, click Open Great AEP on the right, then click Campaigns at the top.

Click New Campaign on the right.

Choosing a Template

Under Option 1, you'll choose a template. There are several to pick from depending on the type of campaign you're running (for example, Medicare Advantage Plan Review). Select the one that fits, then click Continue with Template.


Setting Up Your Campaign

After selecting a template, you'll land on the Campaign Setup screen. Here you can:

  • Edit the campaign name and description
  • Choose the type of meeting people can book
  • Set the invitation start date
  • Set the duration of the meeting
  • Set the booking start date and end date
  • Add buffer time before and after the meeting
  • Allow same-day appointments
  • Collect a scope of appointment

When you're finished, click Create Campaign.


Availability

On the Availability tab, you can use your default availability, or create custom availability that only applies to this campaign.

Invitations and Reminders

On the Invitations tab, you'll find a series of email and text invitations. These only go out once you've uploaded contacts to the campaign, and you can edit or delete any of them.

Once someone books a meeting, they'll stop receiving invitations.

Reminders

The Reminders tab includes two types:

  • Scope of Appointment Reminder – only sent if you're collecting a scope and it hasn't been signed yet. Once it's signed, these stop.
  • Appointment Reminder – sent up until the day of the meeting.

Just like invitations, these can be edited or deleted.

Scope of Appointment Reminders will only go out if your campaign is set to collect a scope. If this isn't turned on, contacts won't receive these reminders even if a scope hasn't been signed.


Adding Contacts

Once your campaign is fully set up, it's time to add contacts. Go to Campaigns, select your campaign, click Contacts, then New Contact.

From there, you can add a single contact or import a whole file at once.
