Create a Review Request Campaign

Reviews are one of the most helpful marketing tools available to your business, but it can be tedious (and sometimes awkward!) to continually ask clients for reviews. With AgentMethods, you can automatically request reviews from clients by setting up an email review request campaign.

Set Up Review Request Campaign

Start by clicking the Review Requests tab at the top of the page.

Review requests automatically send out emails to your contacts, asking them to leave a review of your business. These emails can be configured by audience, schedule, and you can even edit the actual email sent out!

At the top of the page you'll see a section titled Automatically Ask for Reviews. When turned on, the automatic review request email campaign will be active and run according to your preferences. When turned off, no review request emails will be sent.

To set up a review request campaign, click the gray Edit button to the right of this section.

Set Schedule

A pop-up will appear. Here, you can select your preferences for sending review request emails.

First, the Schedule section will appear. Here you can choose:

  • Which days of the week to send review requests
  • Your preferred time of day to send review request emails
  • The number of clients you'd like to email per sending day
    • The review requests tool does not email everyone on your sending list each day! The goal is not to oversaturate your client list with constant review requests. Instead, we'll reach out to a set number of clients each sending day.

One of the best times to ask for reviews is right after you've met with a client– that's when they're most likely to write a positive review! If you'd like to automatically send a review request to clients one day after you complete a meeting with them, toggle the Send review requests after appointments button.

Once you've set your schedule preferences, click the green Next button to continue to selecting your audiences.

Select Audience

Now it's time to choose which group of clients you'd like to send review requests to. You can choose to send these requests to all of your clients, or select a specific group of them.

Choose Contacts to Include

Under the Who Should Receive Review Requests? section, select one of the following:

  • Send to your entire contacts list
  • Send to contacts that only include one of these tags
    • You can choose to only send to contacts that have specific tags assigned to them. For example, choose to only send to your "Medicare" or "California" clients
  • Send to contacts that include ALL of these tags
    • Choose to send to clients that meet all of the tags that you set. For example, only send review requests to clients who are tagged as "Medicare" AND "California", to reach your California-based Medicare clients.

Choose Contacts to Exclude

You can also choose to exclude certain contacts based on certain critiera.

With These Tags

Check the With these tags box to exclude contacts that have certain tags. For example, you can choose to email all contacts except those tagged as "life insurance" clients.

Who Received Email Request in the Past

If you'd like to ensure that clients aren't asked for reviews too often, you can exclude contacts who have recently received a review request email from you. For example, you can exclude contacts who received an invite in the past 3 months.

Who Opened Email Request in the Past

Additionally, you can exclude contacts who had previously received an email request from you, saw the email, and opened it.

At the bottom of the audience section, you'll shown a running total of the number of contacts that will be included in this review request campaign.

Click the green Next button to continue to editing your review request email.

Edit Email Template

Next, it's time to edit the email that will be sent to your selected contacts.

In the text editor, edit the email subject line and body content to your preference.

Once you're happy with the content of the email, check the boxes next to which social media platform you'd like to direct customers to leave a review on. This can be especially helpful if you have a lot of reviews on one platform, but are trying to increase reviews on another.

If you'd like to preview how your email will look in customer's inboxes, click Preview Email.

To save and activate your new review campaign, click the green Create & Activate button.

Manage Upcoming & Sent Requests

Once your campaign is created, you'll see a running list of campaign emails on the Review Requests page. Toggle between Schedule and Sent to view upcoming or previously sent emails.

From this list, you can see which customers will receive a review request soon. Use the search bar to search for a particular contact to see when they will receive/have already received a review request.

From this list, you can move contacts to receive emails at different dates or exclude them from the mailing list altogether.
